Importing your reviews into Reviewbird

You can import your product reviews into Reviewbird from a CSV file or from supported connected review sources. Imported reviews are processed in the background, and you can track progress from the import status page.

Importing product reviews into Reviewbird

  1. Open your store dashboard.
  2. Go to Reviews > Import.
  3. Select an import source.

The import page also shows your Recent Imports, including filename, status, progress, and a link to view each import.

Choosing an import source

Reviewbird supports these file import formats and sources:

  • Reviewbird: standard Reviewbird CSV format. Best for custom imports.
  • WiserReview: reviews exported from WiserReview.
  • Judge.me: reviews exported from Judge.me.
  • WooCommerce: standard WooCommerce product reviews
  • ReviewX: reviews collected with the ReviewX plugin

Preparing your file

After selecting a source, Reviewbird shows the required and optional columns for that format. Use those column names exactly as shown.

For the standard Reviewbird format, the required columns are:

  • author_name: customer name
  • rating: rating from 1 to 5
  • body: review text
  • created_at: review date, such as YYYY-MM-DD or YYYY-MM-DD HH:MM:SS

Optional Reviewbird columns include:

  • product_external_id: platform product ID
  • author_email: customer email address
  • title: review title
  • public_reply: public reply to the review
  • verified_purchase: true or false
  • location: customer location
  • photos: comma-separated photo URLs
  • video: a single video URL

Matching products

If your file includes product IDs, Reviewbird tries to match each review to an existing product in your store. If a product ID is provided and no matching product is found, that row is skipped.

For the standard Reviewbird format, product_external_id is optional. If no product is provided, the review is assigned to a general product. This is usually not desirable and is mainly for API use cases.

Verifying reviews

Use the verified_purchase column to mark whether a review came from a verified purchase.

Accepted values are true and false. If the column is not included, imported reviews are not marked as verified purchases by default.

Importing photos and videos

Imported media must be provided as public URLs in the file.

  • Use photos for comma-separated photo URLs.
  • Use video for one video URL.

Reviewbird downloads and processes media during the import. Your plan’s media limits still apply. Photos over 10 MB or videos over 100 MB may fail to import.

Uploading your file

  1. Select an import source.
  2. Review the required and optional columns.
  3. Click Click to upload, or drag and drop your file.
  4. Click Upload & Validate.

The upload page accepts CSV files up to 10 MB.

New imported reviews are created with the approved status. Reviewbird emails you when the import completes.

Checking import status

After uploading, Reviewbird opens the Import Status page. This page updates automatically while the import is running.

Import statuses include:

  • Pending: the import is queued.
  • Validating: Reviewbird is checking the file.
  • Processing: reviews are being created or updated.
  • Completed: the import finished.
  • Failed: the import could not be completed.
  • Canceled: the import was canceled before processing.
  • Undone: imported reviews were removed.

Reviewing import results

The status page shows how many rows were created, updated, failed, and processed in total.

If there are issues, Reviewbird may show:

  • Validation Errors: file or row issues found before processing.
  • Processing Errors: issues found while creating or updating reviews.
  • Failure Report: a downloadable report with import issues.

Failure reports are available for a limited time. If an expiration date is shown, download the report before it expires.

Canceling an import

You can cancel an import while it is still Pending or Validating.

  1. Open the import status page.
  2. Click Cancel Import.
  3. Confirm the cancellation.

Imports that are already processing or completed cannot be canceled.

Undoing an import

Completed or canceled imports with successfully created reviews can be undone.

  1. Open the import status page.
  2. Click Undo Import.
  3. Confirm by clicking Yes, Undo Import.

Undoing an import permanently deletes the reviews created by that import. Reviews that were updated by the import are not reverted.
